How can there be so many sleighs?

Because Santa can’t be everywhere at once — and he’d be the first to tell you so. Every sleigh on this map belongs to one of his helpers, out on his behalf while he’s still checking the list. They ring his bells, they collect for his causes, and they all report back to the workshop before the big night.

Tell us who you are

Club name, town, the charity you’re collecting for, and your donate link. That’s the whole form. It fits on one screen.

Paste in your rota

Dates, streets, start times. Type them in, or paste the spreadsheet you already keep — we’ll sort the columns out. Change it any time, including on the night.

Share the link

You get a web address to put on Facebook, and one line of code to drop into your own site if you’d rather it lived there. Both work. Both are free.

If you can post on your club’s Facebook page, you can do this. And if you get stuck, email us. A person replies, usually the same day, and we’ll happily type your rota in for you the first year.

One volunteer opens a link on their phone in the cab. That’s the entire setup. It costs less than the diesel, and it usually pays for itself in the first hour of collecting.

Straight answers

The things committees ask us

Is it really free? What’s the catch?

Really free. Every club running a free tracker links back to us from their page, and every family who finds their local sleigh discovers the platform. That’s our marketing budget — we’d rather spend it on you than on adverts.

A small number of clubs pay for live GPS, and that pays for the servers. We don’t sell your data, we don’t email your supporters, and we don’t put adverts on your page.

We don’t really have a website.

Then use the link we give you — santatracker.uk/your-club — and post that. It’s a complete page in its own right, with your name and colours on it. The embed is there for clubs that have a site; it isn’t required.

Nobody in our club is technical.

Good. This was designed for exactly that committee. There is one form, and it asks for things you already know: your club’s name, your town, your charity, your rota.

If it still feels daunting, send us your rota — a spreadsheet, a Word document, a photograph of a whiteboard — and we’ll set the first year up for you and hand you the keys.

What do you do with people’s data?

We ask families for nothing. No accounts, no sign-ups, no email capture, no advertising cookies — which is why your page doesn’t need a cookie banner.

If someone searches a postcode to find their nearest helper, that lookup happens and is then forgotten. Your club’s own details are yours; you can export or delete everything at any time.

Does live tracking mean you’re tracking our volunteers?

No. Live tracking follows the sleigh, from one phone, only while the person holding it has deliberately switched it on, and only during the collection. Close the page and it stops. Nothing is stored after the season, and no volunteer’s name is ever attached to a position.

What if the route changes on the night? It always does.

Change it from your phone in the cab. Push the whole night back thirty minutes with one tap, or drop a street entirely. The page updates for everyone within seconds, and anyone who added the stop to their calendar gets the amended time.

Will this ruin it for the children?

It’s written the other way round. Nothing on the site suggests there is more than one Santa. Every sleigh belongs to one of his helpers, out ahead of him while he finishes the list, all reporting back to the workshop — which is, after all, exactly what your club is doing.
