Terms
Last updated 26 October 2026
We’ve tried to keep these short and in plain English. By setting up a club page, you agree to them on behalf of your club.
Who we are
santatracker.uk is run by dijitul (“we”, “us”): DIJITUL LTD, a company registered in England and Wales, number 12532695, whose registered office is 11 St John Street, Mansfield, Nottinghamshire, NG18 1QJ. VAT registration GB447826460. “You” means the club, group or organisation with a page, and the volunteers who use its account. You can contact a human at any time.
What’s free
The tracker page, the embed for your own website, the themes, the full route, the countdown, add-to-calendar and your donate link are free for community groups. There’s no card, no trial and no time limit. We won’t start charging for anything that’s free today without giving clubs plenty of notice.
Sleigh Live
- Sleigh Live adds live GPS tracking of your sleigh. It costs £49 (including £8.17 VAT), as one payment for the season. It isn’t a subscription, and nothing renews.
- A “season” means the run-up to Christmas in the year you pay, up to and including Christmas Eve.
- Payment is taken by Stripe. If your club needs a VAT invoice, ask and we’ll send one.
- Refunds: if you change your mind before your first live-tracked night, ask and we’ll refund you in full. After that, if live tracking didn’t work because of a fault on our side and we couldn’t put it right, we’ll refund you too. We can’t refund for nights lost to weather, cancelled collections or no phone signal.
Your club’s page
- Your content stays yours. You give us permission to show it on your tracker page, in the embed, and in our “find a sleigh” listings and helpers map, so families can find you. You can switch off the helpers map listing in your dashboard.
- You’re responsible for what you publish. Please keep it accurate, and only publish volunteers’ names, phone numbers or photos if they’re happy for you to.
- Keep your sign-in details to yourselves, and tell us if you think someone else has got into your account.
- Don’t use santatracker.uk for anything unlawful or misleading, such as collecting money for a cause that isn’t yours. Don’t try to break the site, overload it, or get at other clubs’ data.
On the night: safety first
Live tracking must be run by a passenger or by someone walking with the sleigh, never by the driver. Follow the Highway Code and your club’s own risk assessment. Nothing on a tracker page is a reason to rush a route, or to stand in the road.
What we can and can’t promise
- We work hard to keep the site up, especially in December. But it depends on mobile signal, GPS and the internet, so we can’t promise it will always be available or that a position will always be exact.
- A tracker page is a guide to where the sleigh is. Families should treat times as approximate, because Santa is often running late.
- We’re not responsible for the collections themselves, or for anything that happens on your route.
Our liability
Nothing in these terms limits liability that can’t be limited by law, such as for death or personal injury caused by negligence, or for fraud. Otherwise, our total liability to your club for anything to do with the service is limited to what your club paid us in the twelve months before the problem, or £100 if that’s more. We aren’t liable for indirect losses, such as donations you think you might have collected.
Ending things
- You can stop using santatracker.uk whenever you like. Ask us to delete your page and account, and we will.
- We may suspend or remove a page that breaks these terms, puts people at risk, or is clearly abandoned and misleading. Where we reasonably can, we’ll warn you first and explain why.
- If we ever close the service, we’ll give clubs at least three months’ notice and refund any Sleigh Live season you’ve paid for but not yet used.
Your data
How we handle personal data is set out in our privacy notice.
Changes to these terms
We may update these terms. If a change matters to clubs, we’ll email you before it takes effect. The date at the top shows when they last changed.
The law
These terms are governed by the law of England and Wales, and the courts of England and Wales can deal with any dispute. If your club is in Scotland or Northern Ireland, you can also bring a dispute in your local courts.
